The challenge

In the past, Nye Veier had a very cumbersome and labour-intensive workflow used for time registration and submission of invoices for our travel and other expenses. Our employees had to do a lot of manual work, and it was hard to see where in the flow you were at any particular moment.

  • Head office in Kristiansand, as well as seven development offices from Trondheim to Kristiansand along project areas and axes where they have been developed.           
  • 160 permanent employees plus 60-80 temporary workers hired when necessary.
  • 220 licenses for Travel & Expenses and Time Management software.
  • The new system was implemented in May 2019.
  • The company uses the ERP (Enterprise Resource Planning) system, UBW (Unit4 Business World).

Each employee saves almost 15 minutes on the processing of expenses and travel bills, which corresponds to saving almost 800 working hours per year.

Now the employees can manage their working hours - no matter what level they are at. In case of errors, the employees can receive their document back, approve it on behalf of others, and submit  a report.

When we were preparing a specification of our requirements for the new system, we estimated that if we used Travel & Expenses software, each individual employee would save an average of 15 minutes on processing expenses and travel bills. It was not far from what actually happened.
